Terms and Conditions – Family Yoga Retreat

Please read these Terms and Conditions carefully before booking. By making a reservation, you agree to be bound by the following terms.

Refund Policy – Weekend Family Retreat

We understand that plans can change. Our goal is to be as fair and flexible as possible while also ensuring we can responsibly plan for the retreat experience. Please review our refund policy below:

Refund Timeline

  • Full Refund (100%)
    Cancellations made 30 days or more before the retreat start date will receive a full refund, minus any processing fees.
  • Partial Refund (50%)
    Cancellations made 15–29 days before the retreat start date are eligible for a 50% refund.
  • No Refund
    Cancellations made 14 days or fewer before the retreat start date are not eligible for a refund due to advance costs and planning commitments.

Non-Refundable Deposit

A non-refundable deposit of £50 is required to secure your spot. This amount is included in the retreat fee and will not be returned under any circumstances, except in the case of event cancellation by the organisers.

Retreat Cancellation by Organisers

If we are forced to cancel the retreat due to unforeseen circumstances (e.g., natural disasters, venue issues, public health concerns), all participants will receive a full refund, including deposits.

Transfer of Registration

You may transfer your retreat registration to another family (subject to approval by the organisers) at least 7 days before the retreat start date. Please contact us directly to initiate a transfer.

How to Request a Refund

All refund requests must be submitted in writing to tracy@andexhale.co.uk with the subject line: “Refund Request – Family Retreat.” Please include your full name, booking details, and reason for cancellation.

Participation and Responsibility

3.1. All participants (adults and children) take part in activities at their own risk. You agree to take full responsibility for your own health and behaviour, and that of your children or dependents.

3.2. You must inform the organisers in writing of any medical conditions, injuries, allergies, or additional needs at the time of booking or as soon as possible.

3.3. The retreat is family-focused. Children must be supervised by a parent or guardian at all times, including during yoga sessions, mealtimes, and free play.

3.4. You agree to behave respectfully toward instructors, staff, fellow participants, and the retreat venue. Any participant whose behavior is deemed disruptive or unsafe may be asked to leave without refund.

4. Yoga and Other Activities

4.1. All yoga classes and wellness activities are optional. You are responsible for choosing what feels safe and appropriate for yourself and your children.

4.2. Our instructors are qualified and insured, and will provide guidance suitable for different levels. However, it is your responsibility to listen to your body and stop any activity that causes discomfort.

5. Accommodation and Meals

5.1. Accommodation preferences  will be honoured where possible but are subject to availability.

5.2. Dietary requirements will be catered for only if specified in advance.

5.3. Families are responsible for the care and supervision of their own rooms and belongings.

6. Health and Safety

6.1. You agree to follow all health, hygiene, and safety protocols set by the retreat venue, including any related to communicable illnesses (e.g., COVID-19).

6.2. The retreat organisers are not responsible for any accidents, illness, injury, loss, or theft that occurs during the retreat, unless caused by proven negligence.

7. Media and Privacy

7.1. Photos or videos may be taken during the retreat for promotional purposes. If you do not wish for yourself or your child to appear in these, please let us know in writing before the retreat.

7.2. Personal information collected during registration will be kept confidential and handled in accordance with our Privacy Policy.

8. Force Majeure

We are not liable for failure to perform any obligation under these Terms if such failure is caused by acts of God, weather, pandemic, strikes, terrorism, or other events beyond our control.

9. Agreement

By booking your space on the retreat, you confirm that:

  • You have read, understood, and agree to these Terms and Conditions.

  • You accept responsibility for your own safety and the safety of any children you bring.

  • You agree to pay all required fees and follow the retreat guidelines.
